Span Arts follows procedures which aim to ensure that all employees, volunteers, trustees and others who have access to any personal data held by or on behalf of Span Arts are fully aware of and abide by their duties under the legislation.

We respect your privacy and protect all personal information you provide when buying tickets. The information you provide will be used only by ourselves to deliver services and to keep you informed with news, offers and future events. We do not forward our database to outside companies involved in marketing. If at any point, you wish to be removed from our database, please do not hesitate to contact us.

Email

Span Arts is committed to ensuring that your privacy is protected. The information you provide will be used only by ourselves to deliver services and to keep you informed with news, offers and future events. We send one main email every month highlighting our upcoming events and an additional email for specific interest genres if you have ticked the box. If at any stage in the future you would like to opt out from receiving one or any of these emails, please click unsubscribe at the bottom of any of the emails.

Feedback forms

We respect your privacy and protect all personal information you provide when completing our feedback forms. The information you provide will be used only by ourselves to improve our services and to help us to build a case for support for our work.  The feedback and data you provide helps us to understand our audiences better, who you are and what you want. We will share demographic data with funders but we will not share any personal data with anyone.

All sensitive personal information will, as far as practicable for the purposes for which it is held, be treated in a confidential manner.

Recruitment:

Volunteers

Span Arts is committed to ensuring that your privacy is protected. Your personal data will be processed for administrative and management purposes only. We will only share anonymous volunteer data with our funders to report on the numbers and make up of Span Arts volunteers. All sensitive personal information will, as far as practicable for the purposes for which it is held, be treated in a confidential manner.  We will retain your data on file for as long as you are volunteering for Span Arts and 6 years thereafter, at which point we will destroy it in line with our data retention policy.

Staff application forms

All of the information you provide during the process will only be used for the purpose of progressing your application, or to fulfill legal or regulatory requirements if necessary.

We will not share any of the information you provide during the recruitment process. The information you provide will be held securely by us whether the information is in electronic or physical format.

We will use the contact details you provide to us to contact you to progress your application. We will use the other information you provide to assess your suitability for the role you have applied for.

We will retain your data on file for as long as you are a involved in a recruitment process at Span Arts and 6 months thereafter, at which point we will destroy it in line with our data retention policy.

Information generated throughout the assessment process, for example interview notes, is retained by us for 6 months following the closure of the campaign.

Equal opportunities information is retained for 6 months following the closure of the campaign whether you are successful or not.

Staff Contracts 

Span Arts is committed to ensuring that your privacy is protected. Your personal data will be processed for administrative and management purposes only and to ensure that we are following good practice with regards to equality. We will not share your data with anyone.

If you are successful, the information you provide during the application process will be retained by us as part of your employee file for the duration of your employment plus 6 years following the end of your employment. This includes any required criminal records declaration, fitness to work, records of any security checks and references.

Performer/Artist contracts

Your personal data will be processed for administrative and management purposes only and to ensure that we are following good practice with regards to equality. We will not share your data with anyone. All sensitive personal information will, as far as practicable for the purposes for which it is held, be treated in a confidential manner.  We will retain your data on file for as long as you are in a contract with Span Arts and 6 years thereafter, at which point we will destroy it inline with our data retention policy.

Trustee application forms

Span Arts is committed to ensuring that your privacy is protected. Your personal data will be processed for administrative and management purposes only and to ensure that we are following good practice with regards to equality and health and safety. We will not share your data with anyone. All sensitive personal information will, as far as practicable for the purposes for which it is held, be treated in a confidential manner.  We will retain your data on file for as long as you are a member of staff at Span Arts and 6 years thereafter, at which point we will destroy it inline with our data retention policy.

Members

Span Arts is committed to ensuring that your privacy is protected. Your personal data will be processed for administrative and management purposes only. We will not share your data with anyone.  We will retain your data on file for as long as you are a member at Span Arts and 6 years thereafter, at which point we will destroy it in line with our data retention policy.

Members postal mailouts:

We post our season brochure to our Members three times a year. Occasionally we post out letters highlighting specific shows and special offers. If at any stage in the future you would like to opt out from receiving post from us, please phone our Box Office on 01834 869323.

Social Media

If you send us a private or direct message via social media the message will not be shared with any anyone and the message will be deleted once a year.
